Inventory Discrepancies

Overview

QQube reconstructs inventory quantity and valuation from the transaction data available through the Intuit Software Development Kit. Because Intuit does not expose every underlying inventory table, some QuickBooks inventory reports may calculate results differently.

Most inventory differences are caused by synchronization problems, mismatched report filters, QuickBooks configuration, legacy transaction data, or valuation-method differences.

Start with synchronization integrity

Review the QQube synchronization logs before comparing inventory results. If the data was previously accurate and then became inconsistent, resolve any synchronization errors and perform a complete Run All / Clear All reload.

Inventory Reconciliation

1. Confirm the Synchronization Completed Correctly

Review the QQube synchronization logs for errors, crashes, aborted synchronizations, or other interruptions.

A later successful synchronization does not repair data left incomplete by an earlier interruption. When incomplete data is possible, perform a complete Run All / Clear All reload after resolving the error.

2. Match the QuickBooks and QQube Filters

Use the same dates, items, sites, active-status selections, posting status, and other filters in both reports.

  • Active and inactive items. Do not make an item inactive while it still has a positive or negative quantity. Make the required inventory adjustment first.
  • Posting status. In QQube, filter Document Current Posting State to Posted when comparing with a posted QuickBooks inventory report.

3. Check for Special Inventory Conditions

  • Enhanced Inventory Receiving. Filter out records where Document Transaction Type = Bill. Inventory is accrued through the item receipt, and including the related bill can overstate the result.
  • Legacy quantity and amount combinations. Older QuickBooks files may contain transactions with a blank or zero quantity and a nonzero amount. Review and correct invalid source transactions where appropriate.
  • Serialized inventory. Maintain a one-to-one relationship between each inventory unit and its serial number. A mismatch can produce an incorrect quantity-on-hand result.

Understanding Valuation Differences

QQube derives inventory valuation from the actual posting amounts associated with inventory transactions. Some QuickBooks reports may instead calculate value using current quantity multiplied by current average cost.

Because the Intuit SDK does not expose all item-level average-cost tables, especially by inventory site, QQube cannot always reproduce the exact QuickBooks valuation method.

Valuation by site

Quantity by inventory site should reconcile when the source transactions and filters are correct. Valuation by site may differ from QuickBooks by a small rounding amount because QQube uses actual transaction posting amounts rather than an average-cost table by site.

Expected Result

After synchronization errors are resolved, the QQube data is reloaded when necessary, and equivalent filters are applied, inventory quantity and total valuation should reconcile with the corresponding QuickBooks report.

Small valuation-by-site rounding differences may remain because QQube and QuickBooks use different calculation methods for that specific comparison.
